Privacy Policy

This Policy explains how Intent processes information when you visit the website, create an account, research leads, connect a mailbox or run outreach.

1. Information we process

We process account details such as your name, email address, login records and subscription status; product profiles and targeting instructions; public business and professional information found during research; campaign copy, schedules and recipient status; mailbox connection identifiers and sending metadata; feedback, support messages, security logs and basic service-usage records.

2. Connected mailboxes

Mailbox access is authorized through the connection provider shown during setup. Intent uses that connection to send approved messages and check replies, bounces and opt-outs. Intent does not ask you to provide your mailbox password. Access tokens and provider identifiers are handled as confidential service credentials and are not exposed in the dashboard.

3. Public lead information

Intent searches public business websites, public search results and accessible public discussions. It may process names, professional roles, business email addresses, company information, public statements and source URLs. Intent does not intentionally access private communities or fabricate personal contact information.

4. Why we process information

We use information to provide product analysis, lead research, contact verification, campaign preparation and requested outreach; operate accounts and billing; prevent duplicate or unwanted contact; secure and troubleshoot the service; communicate with customers; and comply with legal obligations. Where required, we rely on contract, legitimate interests, consent or legal obligation as appropriate to the activity and jurisdiction.

5. Service providers

We use specialist providers for hosting, databases, web search, AI processing, contact verification, mailbox connections, email delivery, billing and error monitoring. They process information under their own terms and our instructions where applicable. We do not sell personal information or use customer campaign data to sell third-party advertising.

6. Retention

Account and workspace data is kept while the account is active and for a limited period afterwards where needed for recovery, disputes, security or legal obligations. Suppression and unsubscribe records may be retained longer so a person who opted out is not contacted again. Connected-mailbox access is revoked when disconnected, subject to provider processing time.

7. Security

We use access controls, tenant separation, encrypted transport, restricted credentials and operational monitoring designed to protect information. No service can guarantee absolute security. Use a dedicated mailbox where appropriate and do not submit sensitive personal data that Intent does not need.

8. Your choices and rights

You can update account and campaign information, disconnect a mailbox, pause outreach and delete campaigns in the product. Depending on where you live, you may also have rights to access, correct, delete, restrict or object to processing, and to complain to a data-protection authority. Recipients can use the unsubscribe link in every automated outreach email.

9. International processing

Providers may process information in countries other than your own. Where required, appropriate contractual or legal safeguards are used for international transfers.

10. Cookies

Intent uses essential cookies and similar storage for authentication, security, mailbox connection state and product preferences. We do not require advertising cookies to operate the service.

11. Changes and contact

We may update this Policy as the service changes. Material changes will be communicated where appropriate. Privacy questions and rights requests can be sent to privacy@intent.cool.
